Cut down on paper, build up efficiency

Making hire depots paper-free by adopting the use of electronic documents obviously brings environmental savings, but it can also deliver business benefits and efficiencies. 

This was the message conveyed in a recent webinar held by Point of Rental. Ian Young, a Team Leader with the software specialist, said that storing documents electronically enhanced security, enabled authorised access to be controlled and enabled information to be updated quickly. 

Using the company’s Syrinx hire management software, data from several operational areas could be collated into a central ‘source of truth’ containing information on aspects like asset availability, asset history, return on investment and customer records with complete traceability, he said. 

Dan Huggins, Senior Solutions Engineer with Point of Rental, said that using dedicated apps and software modules for operations such as workshop management and equipment deliveries enabled signatures and other data to be captured instantly in the field or at the depot and transferred centrally. 

He said that Point of Rental’s electronic eSign system had grown in popularity in the wake of the Covid pandemic and continued to generate interest. 

Apps for mobile working can also simplify the prioritising of work schedules and can integrate with Google Maps and the what3words location finder service the latter being particularly useful for sites without a specific postcode such as highway works and new-build plots. 

Dean Hammond, Point of Rental’s Director of EMEA Sales, recognised that moving over comprehensively to paper-free working could be demanding for a business. The company has a special team of consultants from a hire industry background who can assist with understanding and undertaking the process.
